Cold email for small firms: what works
Cold email works when the reader has a reason to care this week. It fails when you send one template to a big list. For a small UK firm, the answer is fewer emails, each naming something real, sent from a separate domain, at a pace your mailbox can take.
No card and no contract.

Why most cold email fails
We learned this the expensive way. We bought a list and sent to it, and got auto-replies, a domain on a blocklist and a restricted mailbox. The people we wrote to had no reason to buy from us that week. More sending would only have got us blocked faster.
What should you write?
- Open with one real, dated fact about them: the contract ending, the job advert, the new site.
- Say in one line what you do that fits it.
- Offer one small next step, such as a short call.
- Stop there. Three short sentences is plenty.
An example
Example: "I saw your planned maintenance contract ends next year. We look after similar housing in the region. Would a short call before it goes to tender help?"
How do you protect your mailbox?
- Use a separate sending domain, not your main company mailbox.
- Warm a new mailbox up slowly before you send cold email from it.
- Set a daily limit, and send in working hours.
- Stop at once when someone asks you to.
What do the UK rules say?
B2B email is governed by PECR and UK GDPR. You can usually email companies with a clear identity and an easy opt-out. Sole traders and ordinary partnerships count as individuals, and the rules are stricter. See is AI cold email legal in the UK. This is general information, not legal advice.
How many emails should you send?
Fewer than you think. Send as many as you can give a real reason for. If you run out of reasons, you need better signals, not a bigger list.
How Opptix helps
Opptix does all of this for you. It finds the real reason, writes the email and sends it whilst you sleep, in the hours you choose and never more a day than you allow. A new mailbox holds back for 14 days first. Or approve each one yourself if you'd rather. See how it compares with bulk tools.
